Time and Leave – ECP
Annual Leave
Employees in the Executive Compensation Plan earn 25 workdays per year of annual leave. The annual leave year runs from September 1–August 31. You may accrue up to 50 days of annual leave. At the end of the annual leave year, any annual leave accumulations above the 50 day cap will be removed from the record and thereafter may not be used. There is no compensation for unused annual leave in excess of 50 days in the event of discontinuance, resignation, or retirement. Exceptions to this policy will be made only when a senior executive requires an employee to forego all or part of his or her annual leave because of extraordinary circumstances.
Temporary Disability (Sick) Leave
Each year, you will earn 20 calendar days of temporary disability leave exclusive of Saturdays, Sundays, and authorized holidays and recesses. The unused portions of temporary disability leave can be accumulated to a maximum of 160 calendar days. Sick leave is earned only after a full month of service and no accruals are granted for service of less than a calendar month.
- Employees are allotted 20 days per year and accrue on a monthly basis.
- 20 days/12 months per year = 1.667 days per month. Maximum accrual is 160 days.
Employees who are absent from work for more than 5 consecutive days due to illness must file Family Medical Leave Forms with the Office of Human Resources.
Unscheduled Holidays
There are 4 unscheduled holidays (personal days) during the period September 1–August 31 of each year. Unscheduled holidays may not be carried over to the next year.
Bereavement Leave
An employee may be excused without charge for a period of 4 days when a death occurs among members of the employee’s immediate family, as provided in the applicable Leave Regulations. When the death in an employee’s immediate family occurs while the employee is on annual leave or sick leave such time as is excusable for death in the family shall not be charged annual leave or sick leave.
Immediate family shall be defined as spouse; natural, foster, or step parent; grand child; mother-in-law; father-in-law; natural, foster, or step brother; natural, foster, or step sister, natural, foster, or step child or any relative residing in the same household and effective January 1, 2004, the Domestic Partner of the employee and a child or parent of the Domestic Partner or any other relative of the Domestic Partner living in the same household.

Leaves for Special Purposes
Special leaves may be granted to members of the instructional staff for personal emergencies of not more than ten working days with pay at the discretion of the President. This leave is in accord with Section 13.3 a of the CUNY Bylaws.

Jury Duty
Employees who are required to serve on a jury, or are required to report to Court in person in response to a jury duty summons, or are required to report for jury examination, or to qualify for jury duty, shall receive their regular salary during such absences provided that they remit to the University an amount equal to the compensation received by them, if any, for jury duty. Submission of Certification of Jury Duty Service is required along with timesheet for time served to be honored.

Time and Leave – Instructional Series
Annual leave
For members of the instructional staff who, prior to January 1, 1988, are employed full‑time as Librarians or in the Registrar series and who continue to be employed as Librarians or in the Registrar series there shall be 30 work days of annual leave.
Members of the instructional staff who are employed full‑time as Librarians on or after January 1, 1988 shall accrue annual leave at the following rates through the end of the 2015-2016 academic year:
Effective with the start of the 2016-2017 academic year, members of the instructional staff who are employed full-time as Librarians shall accrue 40 work days of annual leave annually.
Sick Leave
Full-time employees at CUNY accrue twenty sick days per year, and can accrue up to 160 days.
Bereavement Leave
Effective August 25, 2016, all full-time instructional staff members shall be entitled to up to four days of paid bereavement leave for a death in the immediate family (defined as spouse, domestic partner, parent, step-parent, father-in-law, mother-in-law, child, stepchild, sibling, grandparent or grandchild). Proof of bereavement shall be provided upon request made by the department chair, supervisor, or the College Human Resources Department. Instructional staff members shall notify their department chair or supervisor of the need for the leave as soon as possible.
Time and Leave – CLT and HEO Series
For persons employed full-time in the College Laboratory Technician title series, the HEO title series, the Business Manager title series prior to January 1, 1988, and all persons employed as Research Associates, there shall be 25 work days per year of annual leave.
Persons employed full-time in the College Laboratory Technician title series, the HEO title series, and as Research Assistants on or after January 1, 1988, shall accrue annual leave at the following rates: | ||

Effective August 31, 1988, the maximum accrual of annual leave for members of the non-teaching instructional staff shall not exceed 45 working days as of August 31 of any year.

Effective August 25, 2006, adjunct classroom teachers, teachers on multiple position assignments employed for a course, non-teaching adjuncts including full-time instructional staff on non-teaching multiple position assignments and adjunct College Laboratory Technicians including full-time instructional staff in adjunct college laboratory multiple position assignments may be excused for personal illness or personal emergencies including religious observance, death in the immediate family or similar personal needs which cannot be postponed for a period of 1/15 of the total number of clock hours in the particular session or semester. Request for such leave, where possible, must be made in advance, in writing. If it is not possible to make such a request in advance, the department chairperson or supervisor should be informed as soon as possible. The reason provided must be satisfactory to the chairperson or supervisor. Request in advance is not expected in cases of a death in the immediate family, as defined in Section 14.8, but employees covered by this section are expected to give advance notice to their department chair or supervisor of the need for the leave.

Time and Leave
The annual leave period is from September 1 through August 31.
A full month’s credit for annual leave earnings shall be given to an employee who has been in full pay status for at least 15 calendar days during that month. Annual leave may be accrued up to two times the maximum annual leave allowance. All excess annual leave above the maximum by August 31 will be converted to sick leave as of September 1 of each year.
Note: Skilled Trades/220 titled employees vary in the amount of annual, sick, holiday leave, and compensatory time they may accrue. Employees in these titles should check with the Human Resources Department to determine what they are entitled to.

Sick Leave
The sick leave allowance for all Blue and White Collar employees shall accrue as 1 day per month for a total of 12 days per year. The number of sick leave days permitted to accumulate shall be unlimited. New employees accumulate 1 day of sick leave a month after working for 1 full month for a total of 12 days per year.
Unscheduled Holidays
There are 4 unscheduled holidays (personal days) during the period from September 1–August 31 of each year. Unscheduled holidays must be used before August 31, and they may not be carried over to the next year.
Compensatory Time
Employees may earn up to 240 hours per year in compensatory time. This time must be used within 90 days of being earned, or will be added to the sick leave balance. There is no carry over of compensatory time from year to year. Use of compensatory time is scheduled by the supervisor.
Bereavement Leave
An employee may be excused without charge for a period of up to 4 days when a death occurs among members of the employee’s immediate family, as provided in the applicable Leave Regulations. Time and Leave
You are entitled to receive annual leave if you work 500 or more hours in a fiscal year (July 1-June 30). You will be credited with one hour of annual leave for every 15 hours worked during the year of employment. At the fifth year of employment, annual leave is earned at the rate of one hour for every 11 hours worked. Annual leave may be taken at any point after you have accrued it, with your supervisor’s prior approval, or it will be paid to you after you have worked the number of hours allotted to you.
Sick Leave
You are entitled to receive sick leave if you work 500 or more hours in a fiscal year. You will be credited with one hour of sick leave for every 20 hours worked. Sick leave may be used only for your personal illness. Excessive use of sick leave will be reviewed by the Department of Human Resources. Unused sick leave may be accrued from year to year without limitation. A physician’s certificate is required for illness extending for three or more consecutive working days, and for each month in the case of prolonged illness.
Jury Duty
Hourly employees who are required to serve on a jury are eligible for compensation, $40 per day, up to three days. Submission of Jury Duty Summons and Certification of Jury Duty Service are required along with biweekly timesheet for processing.

Annual Leave
New Employees – 20 days advanced upon commencement of service to new CUNY employees appointed to CUNY managerial titles. Please refer to “Existing Employees” section beginning 2nd year of service onwards.
Existing Employees – accrue annual leave monthly, based on years of service, as set forth below:

Holidays and Unscheduled Holidays
Regular holidays with pay and unscheduled holidays are listed on the attached “Employee Holiday and Annual Leave Periods” sheet under “Group 1”.
Unscheduled holidays are allotted at the beginning of the leave year (September 1) and must be used by the end of the same leave year (August 31).
The number of unscheduled holidays allotted for the year is listed on the Holiday Schedule. Newly hired employees receive a pro-rated amount of unscheduled holidays, based on their start date, during the first annual leave year of employment.
Sick Leave
